Job Title: Project Manager

Position Summary:
The Project Manager (PM) will support the operational execution and timely delivery of the EnergyPoints Phase II SBIR clinical trial. This role is responsible for organizing and documenting internal meetings, monitoring team training (initial and annual updating as necessary) and accountability, facilitating effective project tracking and communication, and other responsibilities from time-to-time that may be assigned to the PM by the CEO or CVO. The PM will serve as the hub for internal coordination with the Chief Science Officer and all other team members, ensuring aligned and timely performance on deliverables and reportable milestones.
Key Responsibilities:
- Ensure all team members have completed the required training, reviewed and signed the employee handbook (including policies & procedures), and completed all onboarding documentation, including payroll information. All documentation is to be properly maintained in company records.
- Schedule and communicate the timing of all regular and special team meetings. Coordinate with the CVO, CEO, and CSO to request and circulate meeting agendas in advance. Ensure meeting minutes are recorded, corrected, and distributed promptly to attendees and those unable to attend. Maintain a shared calendar tracking planned Out-of-office time for all team members.
- Monitor timely completion of action items and follow up with team members on outstanding tasks; identify and communicate status and potential outstanding issues. Identify and manage blocks in the workflow.
- Maintain project timelines and milestone tracking tools (e.g., Gantt charts, dashboards, checklists).
- Coordinate monthly retrospective (retro) sessions to reflect on team workflows and implement process improvements.
- Coordinate activities between core research, app development, and technical and operational teams to ensure seamless integration of operational and scientific activities.
- Support grant compliance tracking and help maintain documentation of progress toward key deliverables.
Qualifications:
- Bachelor’s degree required; Master’s degree or certificate in public health, project management, or related field preferred
- Experience in project coordination or program management
- Strong organizational and time management skills, with a proven ability to handle multiple workstreams simultaneously
- Proficiency with Office 365 Suite and task/project management tools (e.g., Microsoft Planner, Trello, Asana)
- Excellent verbal and written communication skills
- Ability to facilitate efficient virtual meetings and keep diverse stakeholders aligned
- Familiarity with NIH-funded research projects is preferred.
- Proven ability to manage multiple aspects of a complex project independently and proactively.
Additional Notes:
This position is grant-funded through a Phase II NIH/NCI Small Business Innovation Research (SBIR) award. The position is part-time, remote, and structured for approximately 400 hours per year (about 8–10 hours/week, depending on the project stage). Hours may vary across phases of the trial.
Start Date: Immediate start
Duration: Through end of grant period (anticipated 22 months), with possibility of extension based on funding and performance
Salary Range: $35 to $40/hour; an estimated average of 8 hours per week
